Choosing an MSP in Ottawa: the questions that separate providers

August 3, 2026

Managed service proposals converge on the same language. Proactive monitoring, 24/7 support, enterprise-grade security, trusted partner. Read three and they blur. The differences show up in questions most providers are not expecting.

Who answers when I call, and where are they?

Ask whether the person answering has seen your environment before, and where they sit. A local team that already knows your building, your line of business software and the quirk with the accounting server is a different service from a queue that reads a script.

What is explicitly not included?

Inclusions are marketing. Exclusions are the contract. Ask directly what falls outside the monthly fee: projects, hardware, after-hours work, third-party vendor coordination, cabling, moves. A provider who answers this crisply is one who has thought about it.

Show me a real monthly report

Redacted, from an actual client. It reveals what they measure and therefore what they manage. If the report is a wall of green checkmarks with no trend and no risks named, the account reviews will be the same.

Who owns the documentation and the licences?

If the relationship ends, do you leave with your documentation, your tenancy, your domain and your licence agreements in your own name? A provider holding those hostage is a provider you cannot leave. This is the single question most worth asking early.

What happens in the first thirty days?

A good answer is specific: discovery, an asset inventory, a risk-ranked remediation list you see before anything is touched. A vague answer usually means onboarding is improvised, and improvisation is where things break.

None of these questions are hostile. They are the ones a provider who does the work will enjoy answering.
